Meeting called to order at 7:05 PM and minutes from the former meeting (May 2011) approved with a couple of spelling changes.

Open discussion of Board retreat later in the Summer/Fall.  Tabled until later date.  Discuss through email.

FINANCE:  BILL

In good standing as of date with most expenses paid out for Summer/Spring. 

Summary of financial position is:

$39,562.53 in all accounts (cash, savings, checking, and deposits)

+$20,113.01 in all pending invoiced receivables (NWR June, Pro-Motion Reso/Firecracker, All-Comers)

-$26,385.02 in all expenses to be paid (Club Track Championships Hotel/Travel, Officials, Meet expenses)

= $33,290.52

Committee Initiatives included Social Media & CNW (Facebook and Twitter)

 CNW “Experience” (expectations, opportunities, expansion, communication, website, Member-of-Month, Membership Cards, Merchandise, Singlet distribution for new members, updating membership homepage.

New & Renewing Membership Status (45 total new/renewing member’s w/3 families, which includes 37 males and 8 females – concern?).  Positive commentary including – discounts, good club, like workout groups, NWR subscription, support the PNW.

CNW Quarterly Social Events – (Summer Solstice Run Report on June 21 – 26 Run + 10 Beach afterwards.  Proposal to make annual event.  Well received and approved by Board Members.  Sunday Morning Runs taking a Summer Break and restarting at the end of Aug/beginning of September.  CNW Picnic on August 13th at Magnuson Park.  Report on this at next month’s meeting.

2011 CNW XC National Team Selection Process

The Teams Committee has defined the selection criteria for the men’s and women’s open elite teams for the 2011 XC season. Please note that we also hope to field sub-elite B and C teams, where this criteria does not apply.

The procedure will be similar to years past, with the athletes competing for 4 positions based on points and 4 at large positions based on selection by the teams committee, for a total of 8 positions for each Open Elite (A) team (men’s & women’s).

Scoring will use the best 2 of 3 qualifying meets, with PNTF Champs counting double.

Athletes need to be CNW Members and be racing in uniform to count for a race. Also, for PNTF Champs and USATF Regionals, proper USATF membership is required.

Scoring as follows:

·         1st Place scores 10 points (pts), 2nd 9 pts,…..10th is 1 pt. above 10th is 1 pt. DNF scores 0 pts.

Qualifying meets are:

1.       Sat., Oct. 8 WWU Classic, 10k men, 6k women, Lake Padden, Bellingham

2.       Sun., Nov. 6 PNTF Champs, Lower Woodland, Seattle

3.       3. Sun., Nov. 20, USATF NW Regionals, Seattle.  Exact location TBD.

The selected teams will compete for CNW at the 2011 USATF National Club Cross Country Championships Saturday December 11, 2011, at Jefferson Golf Course in Seattle.

Our goal is to field the best possible team for Nationals. All final selections will be subject to approval by the Team’s Committee.

For Master’s team selection, the above criteria will be used as a guideline. Actual selection will be made by the Team’s Committee based on overall performance at these races and who we feel will perform best at Club Nationals.

Impressive Club Northwest results from New York City, July 8-9, site of this year’s USATF Club National Track & Field Championships:

The girls also ran well in the relays:  1st in the Distance Medley, 3rd in the 4x800, 5th in the Sprint Medley, and 4th in the 4x400.

EVENTS:  BILL & BECCA

Resolution Run - showed a total earned for CNW of $11,469.94!!  Great revenue to start the year for the Club.

All-Comers – Revenues are up but because of unseasonably bad weather, attendance is down 10% from last year.  With purchase of electronic timing – this should be a break-even year.

Firecracker – (8 Board members volunteered), with income of $6,000 to CNW!!

Washington Games Events – run through July and August with report next meeting.

Magnuson Series – July has the Washington Games includes and August has the CNW Picnic to follow.

Equipment – Inventory of what we have with future discussions of what we need to be a viable Club.

Timing System – Discussions with iPico to purchase a Lite Reader system for chip reading at events.  This could cost around $12,000/w/software.  Income of $400 per event towards a breakeven.  Many races to use this system to regain cash flow, but require an upfront expense to buy.  **Agreed that Executive Committee will discuss/approve purchase w/out approval from all members required.

Beach Vault – Paid entries down for the year.  Total revenue of $2,963.11 for the event offset with expenses of $2,978.88.  A break-even event for us this year.   Next year’s Olympic Trials could result in more athletes and more general attendees with the hyped-up season.

NEW BUSINESS

**Proposal for Executive Committee to spend up to $1,000 without Board approval and report at next meeting.  1st by Ed, 2nd by John – all approved.

Yahoo groups – go ahead and have Becca shut down this site.

Timing System – Al Bonney selling this to Club.   Tahoma spoke of compatibility with mats and antenna readers.  Executive Committee will decide if to go forward without Board approval.  Agreed by all.

David will host the Winter Solstice Run in December.
