Minutes: John O’Hearn.
John OHearn to send
September minutes to Chuck for posting on the website.
FINANCIAL REPORT: Bill Roe
- Aggregate account
balances are ~$21,800 with $9866 in the bank, we owe approximately $4000
for top performances in All-Comers track series
- We have a favorable
event backlog with Promotion Events-our goal is to have no more than 5-6
months of prepaid funds to them to handle our events.
- We had a lively
discussion of possible timing systems for Club Northwest track events.
Northwest Runner: Martin Rudow
- The Running Network,
that provided us with $10-15K (10%) of our overall annual advertising
revenue has split into two groups-Running Network and Endurance Sports
- Martin has decided to
go with Endurance Sports for our advertising since they seem to be in sync
with our needs and their customer base/demographics fit what we are all
about more where the old Running Network seems to be headed.
- Northwest Runner
contributed $1400 to Club Northwest for September 2008; a direct mail
campaign cost that was incurred in September is contributing to the lower
overall monthly contribution.
The new compensation plan for Martin is contributing less to Club
Northwest due to the new incentives for him generated by his increased
sales-great work Martin!
MEMBERSHIP: Becca Gillespy
- Becca suggested Molly Loesche as her
successor since she will be limited in her ability to serve Club Northwest
in the near future due to personal commitments.
- Molly’s compensation was discussed and
tentatively agreed it could be $300/month for team manager, $200 for
membership with miscellaneous amounts possible for bringing in new members
and handling mailing of membership cards, shirts, etc
- Shelley Neal proposed that we accept
Becca’s detailed E-mail of earlier in the day as a proposal for her
replacement Molly Loesche, this was seconded by Saul Kinderis and approved
by the board
- Only a few new members last month-no
great news to report on that front.
EVENTS: Brian Oster/Becca Gillespy
- Trip-and-Dip will be
1/1/09 and it could be the biggest ever due to the success last year. We may be moving to the real boat
launch along the water, it is set-up quite well to accommodate this event
better than the old location and it is very spectator-friendly
- Super Jock and Jill
Winter Grand Prix dates are as follows: 12/6/08 Cross Country, 12/20/08
Road Race, 1/10/08 Cross Country, 1/24/08 Road Race (Super Jock and Jill
serving treats), 2/7/08 Track-possibly at Nathan Hale, 2/21/08 Finale
- New Balance has
committed already and saying there is a possibility of more prizes.
- Federal Way Track Club
is not available to help this year-Bill is looking for someone else to
help us put it on. One of the
main reasons we did not make money on these events last year was that we
paid Federal Way Track Club $2500 for their assistance-so there is a
possibility we can increase revenue depending on what we come up with for
- We need to start
registration 11/15/08 and get an ad in to Martin by the beginning of
November to make it into the December issue of Northwest Runner
- Due to the large
number of runners and some logistical issues we may consider going to two
races per event this year
- Spring Break
Open-still considering dates for this but 3/28/09 or 3/29/09 look to be
the most practical at this point.
UW has a meet 3/21/09 so it does not make a lot of sense to hold
our meet in conjunction with them or on the same weekend-Bill is “most
likely” not available the weekend of 3/28/09
TEAM: Shelley Neal/Becca Gillespy
- BCC Invite is this weekend, the first
selection race for our Club National Cross Country teams, we expect a
strong turnout of orange for this event at Lake Sammamish State Park
- We also resurrected the discussion of
Club Northwest by-laws with respect to athletes competing for Club
Northwest but not living in the general area or not being in our local
- Bill made a strong point that our
revenue-producing magazine and road races are in the Northwest so our
athletes we support should be as well-meaning we support mostly Western
Washington athletes with some exceptions made for those “on the other side
of the mountains” within Washington State.
- Regarding the Club Nationals Cross
Country budget, $500 of the $2500 bus fee has been paid so far-we will
charge $60 per seat on the bus.
We have hotel reservations at the race headquarters location and
will be requiring a payment of $100 per athlete for Club Nationals unless
qualifications are met for open athletes. Currently, our budget for this event is $5000.
- We have not made any reservations for
Regionals in Spokane 11/22/08 at this point but will most likely do a bus
trip with one overnight (Friday) and return immediately after the events
WEB: Chuck Bartlett
- We did not discuss
whether Chuck updated the website with new board members, etc before
October meeting so will follow-up in November
- Has added cross
country meet schedule and other pertinent details and is continuing to
provide the updates via the blog and website for cross country
PNTF/USATF/MISC: Becca Gillespy
- There is a pending
meeting regarding the future use of Seattle Stadium and what kind of
events it might host in the future-Becca would like Club Northwest there
to promote track and field-Lance will attend
- It is possible that
Jefferson Park Golf Course on Beacon Hill in Seattle may host the 2011
Club Nationals Cross Country
- The Washington Games
were a success on many levels, Ralph Martin would like Club Northwest
involved again with our All-Comers Meet in 2009
made to adjourn by Tony Young at 9:03PM and seconded by Nick.
Next meeting 11/10/08
